How to stop selling the same item twice

Double-selling is when one item sells on two marketplaces before you've delisted it, and it always ends with a canceled order. On eBay that cancellation counts as a transaction defect. On Poshmark it counts toward a 3% limit. On Mercari it can cost 5% of the item price, up to $25, per each marketplace's rules as checked on September 23, 2026.

What happens when one item sells on two marketplaces?

When one item sells on two marketplaces, you ship it to one buyer and cancel on the other, and the cancellation is recorded against you. eBay counts a seller cancellation for an item "sold to someone else" as a transaction defect. Poshmark counts it toward a 3% cancellation limit. Mercari shows it on your profile and may charge a fee.

What should you do the moment an item sells?

The moment an item sells anywhere, take it down everywhere else, working from your inventory record, before you do anything else. The time between a sale and the last delisting is the whole risk, so it should be minutes. This routine works with or without software:

  1. Delist everywhere within minutesNot at the end of the day, and not when you pack. Sales come in while you're out, so make sure you can delist from your phone.
  2. Work from the record, not from memoryOpen the item's row, see every marketplace it's live on, and remove it from each one. Memory fails on busy days, which is when you have the most listings live.
  3. Mark it sold before you packUpdate the record first. By the time you pack, the risky window has already closed or gone wrong.
  4. Move the item to a sold shelfIf it stays with live inventory, it can be picked or relisted by mistake.
  5. Check the record against the marketplaces weeklyFifteen minutes: everything marked live is live, and everything sold is down. It catches drift before it turns into a canceled order.

How do you keep one inventory record across marketplaces?

A crosslisting inventory record is one list, kept outside every marketplace, with one row per item: its SKU, what it is, where it's listed, its status and where it sits on your shelf. A spreadsheet is enough. What matters is that there's only one, and that the SKU is written on a tag on the item, so a sale notification leads straight to the object and to every listing of it.

Which order do you keep if an item sells twice?

Keep the order that came in first and cancel the second one right away. It's the fair call to both buyers, and waiting only makes it worse for the one who loses out. Then:

  1. Check the order times on both marketplaces to confirm which came first.
  2. Message the second buyer before you cancel: the item sold elsewhere minutes earlier, you're sorry, and the refund is on its way.
  3. Cancel through the marketplace's own cancel flow and pick the reason that's true.
  4. Delist the item anywhere else it's still live. A third listing is the next double sale.
  5. Write down how it happened. One is bad luck. Two means the routine has a gap.

Does crosslisting software stop double sales?

Crosslisting software shortens the gap between a sale and the other delistings, and it doesn't close it. A tool has to learn about the sale on one marketplace before it can remove the other listings, and a check that fails or runs late leaves you exposed. How do you cut double-selling risk without more software?

  • Crosslist the slow movers. Items that sell fast on your main marketplace don't need a second one. Less exposure, most of the benefit.
  • Keep quantity at one per listing. Multi-quantity listings across marketplaces multiply the problem.
  • Keep one-of-a-kind items you can't replace on one marketplace. If a cancellation would hurt, the extra exposure isn't worth it.
  • On Poshmark, remove a sold-elsewhere listing once and leave it. Poshmark's Seller Policy prohibits "excessive listing removal and reposting of the same or similar listings", so don't delete and repost to bump.
  • Run fewer marketplaces well. Two kept current beats four kept badly. How many marketplaces to run covers that choice.

How do I keep crosslisted inventory in sync?
Keep one record outside every marketplace with each item's SKU and every marketplace it's live on, write the SKU on a tag on the item, and delist from that record the moment a sale lands. A spreadsheet is enough. Check the record against each marketplace once a week.
Can crosslisting software prevent double selling completely?
No. Software has to detect a sale before it can remove the other listings, so there's always a gap, and a failed check makes it longer. Use it to cut the typing and the delay, and keep a manual delisting routine and a weekly check behind it.
